How the RootPro Client Portal handles your information. Last updated 4 October 2026.
What we collect
Your name, work email, role and organisation; the project information, files, messages, approvals and feedback you and your team add; and basic security records such as sign-in times, IP address and browser type.
Why we use it
Only to run the portal for your organisation: showing your projects, recording decisions, sending the notifications you choose, keeping your account secure and providing support. We do not sell your data or use it for advertising.
Cookies
The portal uses strictly necessary cookies only — a session cookie that keeps you signed in and a security token that protects forms. There are no analytics, advertising or tracking cookies.
Who can see your data
People in your organisation, according to the role and project access your administrators give them, and authorised RootPro Technologies staff working on your engagement. Client organisations are isolated from each other.
Notifications
You can choose which email, in-app and push notifications you receive in Notification settings. Push notifications are only sent if you enable them in your browser.
Retention
Project records are kept for the duration of your engagement and as required for legal, accounting and audit purposes. Ask us if you would like your personal data exported or removed.
